Outlook 2010 and Office 365 profile issues

I'm wondering if anyone can offer any insight to our current problems. I do have an ongoing case with support but its proving to be a tricky one to crack.

We are an organisation of circa 5000 all on Windows 7 Outlook 2010, Office 365/Exchange Online mailboxes. 

Up until Thursday 19th of March we had been relatively trouble free. Something happened on or around the 19th March that has seen us with over a thousand users reports issues. These manifest themselves with one or more of the following.

  • Email are sent but then sit in the Outbox never being delivered.
  • New emails don’t appear in the inbox even though the new email notification is triggered.
  • All email folders appear to be in a type of folder view where each folder has double blue arrows on them. This usually coincides with the Sync Issues folder appearing in Mail view often with hundreds(sometimes thousands) of sync issues per day.
  • Users online Archive wont expand or sometimes won’t even show.

Users have tried closing and re-opening Outlook and sometimes this returns the client to normal behaviour sometimes not. In all cases so far a new Outlook profile has fixed the issues described above. A repair of the profile makes no difference. The problem with this approach is that with so many users reporting problems this is not a feasible way for our 1st line support to have to deal with. What is more worrying is that we are starting to see a handful of users who have already had new profiles call again to report a recurrence of one or more of the issues listed above.

In all cases when checking the users machine Outlook appears connected and checking the Connections Status everything is connected. What we have noticed is the normal status message of Connected To: Microsoft Exchange has sometimes changed to Online.

We have checked with our network provider and they confirmed there have been no network issues or changes since the 19th. 

I've been working with MS Support who created a diagnostic tool for me to run on affected machines. We've run it on 5 or so machines so far and they have come back with a list of recommendations but all of which I'm sceptical about.

I'm not sure that any of the above are going to fix our issues ? How can we have been working trouble free for over a year but now all of a sudden the lack of the patches above have caused an issue ? The other suggestion was that we enable RPC Encryption in the mail profile. However upon testing if we change Logon network security from anonymous to Negotiate and tick the box to encrypt it breaks the connection. 


I know there was a 365 incident on Thursday 19th Incident ID EX17712 and now the Web issues reported in MC15419 but we are unsure whether either of these things is causing issues for us ? I had suspected proxy issues but our Network partner have proved there are none and surely network issues would be an on or off type problem rather than the issues described ?

If anyone has any ideas I would love to hear them as I'm tearing my hair out :-)

Outlook 2013 - Public folder cached mode search not working

I am using Outlook 2013 with two Exchange E-Mail accounts of the same Exchange server (one is my own mailbox and the other one is a functional mailbox for a group of users). For some reason I cannot use the second account as an additional mailbox of the first account, but rather I need it to be a second mail account, which is now working smoothly with Outlook 2013.I am using Cached mode and I also choose to Download Public folder favorites.

In Public folders I have chosen some favorites.

Now when I am trying to search in this favorite public folders I do not get a result.

If I disable "Download Public folder favorites" search is working again.

If I remove the functional mailbox and having only one mailbox in my profile the search is working with "Download Public folder favorites" enabled.

If I use two Exchange mail accounts of the same server, I can also see the public folders two times. One time for my own mailbox and one time for the functional mailbox. I suspect that this is causing the trouble.

I tried to have one of the two mailboxes without cached mode. I tried to choose the Public folder favorite on both mailboxes. But all did not help, search is not working.

Search is only working if both mailboxes are without cached mode.

Search is also working in cached mode if I go directly to the public folder and not via the favorite (but this is incovenient since the public folder structure is rather complex).

And more strange, If I add the favorite in each of the mailboxes public folders, the favorite appears twices under "Persons/Contacts" (it is a public folder with contacts). But if I remove the public folder favorite on of the mailboxes public folders, the favorite is removed on both public folder instances.

Does anyone experience the same issue?

Might anyone have a solution to this?

Is it maybe a known bug that might get fixed?

For me it seems that this behaviour can not be intended.

I appreciate any comments on this.

Separate Offline Address Book in addition to Global Address Book

Hello,

When users use Outlook Client in cache mode, their GAL becomes OAB after downloading it to their PC's.

Is there any option to configure Offline Address Book as additional list in Outlook, thus there will be the possibility to use both lists - GAL and OAB separately?

Searching old emails

Hi,

I am having trouble searching for old emails via Outlook.  If I sort my Sent Items, and then click the link at the bottom to get more from Exchange, I see them all.  However, using the Outlook search tools doesn't find them - even if I do an advanced search and use the date field to specify dates.

Is there a way to do this from Outlook?

Unable to move items between folders

Exchange 2013 SP1 and Outlook 2010.

The user is unable to move an email from one folder to another folder. It does not matter which email or folder, the result is the same. Dragging and dropping results in the email staying in the original folder. Right clicking and selecting Move has the same result. No error is shown, the item simply does not move.

The issue also occurs when attempting to move items between folders in OWA (tested with Internet Explorer and Chrome). However, the really strange part is that it works without issue from another computer. So if the user logs in to OWA on a different computer and attempts to move the items it works.

If the computer is rebooted then it works as expected for a week or more in both Outlook and OWA.  The computer is turned off and on every day.

Any suggestions?

Adding "Author" permission via OWA on Exchange 2013

Hello,

We're having issues with our Apple users: whenever they add access to a calender using Apple Calendar, it seems the account gets added toResourceDelegates, even if you want to give them read-only access (thanks Apple...). This causes problems as the delegated users get invites and get confused as to why this is.

So we want to recommend they only set calender sharing permissions using Outlook Web App... but the problem is, theAuthor permission isn't available in the drop down menu, only Reviewer or Editor are.

My question is, how can I add this option to the OWA drop down list?

Cannot receive external emails

I have one account on Exchange Server 2013 that only receives internal mail, external mail gets rejected with the following error:

The email account appears to have the same settings as the email accounts that accept both internal and external email.

OWA - New email or replies suddenly opening as a pop-up window

Hello, Using a Macbook Air and Firefox. Just last week, my OWA new emails and replies to emails suddenly began opening as a new window - more like a pop-up. I can't find any place to change it back. It used to open within the browser, which is what I prefer. Can anyone help me change it back? Thanks!!


Unable to get POP3 work after Migrating from Exchange 2007

Hello Team,

We did a migration from Exch 2007 to Exch 2013. Migration went smoothly. Old server is demoted and exchange uninstalled. Some how POP3 is not working as expected. Trying to configure in outlook shows :

Receiving' reported error (0x800CCC1A) : 'Your server does not support the connection encryption type you have specified. Try changing the encryption method. Contact your mail server administrator or Internet service provider (ISP) for additional assistance.' that the server does not accept the encryption method used. 

Followed lot of articles, still not getting any FIX. Exchange server is fully patched with Latest CU.

Also getting password prompt regularly.

Suggestion's please!!

Outlook 2007 popups for credentials all the time at the end of creation new profile

Hello all,

I have a new exchange 2013 cu7 for which client role is load balanced. There is no problem creating and working with outlook profiles on Win 7 pc's with outlook 2010.

We have 2 terminal servers with Windows 2003 and Outlook 2007 installed (last patches for office3). When I try to create a new profile, I am asked to enter credentials at the end. Password is correct, but it continues to ask for it. The only way is to choose cancel, but thus profile will not be created.

OutlookAnywhere settings:

InternalURL exists

Works with SSL

Authentication NTLM

ExternalURL empty

Works with SSL

Authentication NTLM

(Reminder- only these 2 terminal do this problem- they are located in a closed environment- I opened 443 port to exchange client rule servers and client VIP (configured as Internal hostname)).

Any help appreciated!

Hi,

I had already posted in the TechNet forums and was asked to post here since we made some progress but they were not able to resolve the issue 100%.

We've got one end-user out of 65 getting a certificate error when starting outlook 2010. It says ourexchangeservername.ourdomain in the title bar. Below that, it says "info you exchange with this site cannot be viewed" etc.  Below that, the red x is next to "The security certificate was issued by a company you have not chosen to trust" etc. and there's a green check next to both  "The security certificate is valid" and The security certificate has a valid name". He clicks yes to proceed and the same error comes up again. Click yes again, it goes away and outlook functions normally. In cert manager, I see it in two places, under Trusted root certification authorities>certificates, and under Other people>certificates. I'm guessing these correspond to the two clicks on the yes button he must do? I deleted them but he still gets the prompt. Is there another place these are coming from, and should I install to another section of cert manager? If it's the server, how come only one guy is suffering?

changing Outlook Anywhere internal URL disconnects XP clients

Good morning,

I am supposed to change the internal Outlook Anywhere hostname for an Exchange installation:

recent internal hostname: webmail.contoso.com
future internal hostname: webmail.contoso.local

The external hostname for OA is not set, because OA should not be available from external. 

Now I made a test changing the internal hostname as follows:

  • generate a new Exchange certificate with subject name "webmail.contoso.local"
  • Set-OutlookAnywhere -InternalHostname webmail.contoso.local -InternalClientsRequireSSL:$True

Afterwards I made some tests on several clients:

  • Windows 7: working fine, it takes some time but Outlook updates its profile to the new internal OA name and connects to the mailbox
  • Windows XP: Outlook profile is not updated automatically, if I update it manually, Outlook hangs when starting and still tries to establish 1 connection to the old OA internal hostname

Does anyone of you have an idea how to solve this? I appreciate your suggestions, thank you very much. :-)

Unable to Find Inbox In Outlook 2013

I have a user who is facing issue with Outlook 2013,Inbox is missing however user have two outboxes in which one acts like a Inbox and emails comes to that Outbox(Which is acting as Inbox).We are unable to rename the folders as the option is grayed out as its a default folder.Asked user to check in OWA its same structure which is there in Outlook.Not sure what should be the next step.

When users log in to OWA they receive a password expiration warning. The dates are not valid and I would like to just disable the banner. Is this possible?

Outlook 2013 with outlook.com Office 365 not showing today's messages

Since a couple of weeks I experience this very annoying issue where suddenly the message of "today" are not available any more. I'm working normally, then suddenly they disappear. Symptoms:

- No message of "Today" is show in the Inbox. They do appear in the web interface outlook.com 

- Sometimes the messages are still visible in the overview, but not preview of the message is shown in the "Reading Pane" instead there is an error message:

"Sorry, we're having trouble opening this item. This could be temporary, but if you see it again you might want to restart Outlook."

- When I have one of "todays" messages open and try to save an attachment I get a warning that this is not possible: http://i.imgur.com/037amrd.png

The issue resolves itself after a couple of times restarting outlook and syncing? I haven't found a reproduce-able way yet.

I'm using Outlook 2013 with Exchange (Office 365 Small business Premium).

Outlook does not connect to Exchange 2013 after name change due to marriage

When launching Outlook and clicking through the setup wizard to create a new profile, Outlook auto-discovers the correct email alias. When establishing a connection it successfully checks network connectivity and successfully searches the email settings. When it attempts to logon to the mail server the error comes up.

"The connection to Microsoft Exchange is unavailable. Outlook must be online or connected to complete this action."

Clicking "Check Name" gives the error:

"The name cannot be resolved. The connection to Microsoft Exchange is unavailable. Outlook must be online or connected to complete this action."

The same result occurs with a manual setup.

We are running Exchange Server 2013. User workstations are running Outlook 2013 on Windows 7 Pro. All updates have been applied as of March 31, 2015.

All name changes have been made in AD and Exchange. Old aliases and new aliases are set in Exchange. Offline Address books are updated daily. The local profile and registry settings have been updated on the workstation and the user is successfully logging into the profile. The issue is only with Outlook 2013. User can access mail through OWA and ActiveSync on their mobile device.

Logging the user into another workstation and running the wizard returns the same results, which rules out the possible problem being with the workstation.

Case of the dissapearing shared folders

Hi there,

At a customer of ours we migrated from Exchange 2010 to Exchange 2013 successfully. Well that is until the following problem showed up:

All clients are running Outlook 2013. All users have a personal e-mail box and they share several shared mailboxes. 

Lets call the mailbox Sales@. This mailbox is shared by a lot of users and all the sales related e-mail is kept in separate folders and sub-folders. Up until Exch2013 all was working fine. But after we migrated the shared folders, people started noticing that:

- During the day randomly at random users, the shared mailbox closed it's tree. Not a real problem, cause you can reopen it, but non the less very irritating. specially when it happens very often. We noticed this occurred mostly when people were not using outlook for a few minutes.

- During the day randomly at random users, the shared mailbox folder list would partially disappear. Whole parts of the mailbox wouldn't be shown. Even when the tree would be closed and reopened. Only thing that seems to fix this issue is closing Outlook 2013 and restarting it. We also noticed we could use the "reconnect" option in the "connection status" screen when you <ctrl>+richt-click on the Outlook tray icon. The reconnect also would re-show the whole folder list.

I've been browsing the internet for any permanent fix. I found some mentions about the cache mode, but the users don't have caching on in their profiles. For a test we turned on caching at one of the users for the private mailbox online. But that didn't help. Turning cache mode on for the shared folder isn't an option. This folder is about 13GB in size and that would mean all users (Remote Desktop profiles) would have a 13GB+ .ost file in the terminal server. Since we have over 40 users using this shared folder, we don't think this would help us :-)

Please can anyone help us. Any suggestion would be great.

Transfer mail and contact from an old account to a new one ?

Hi,

The employe from the company where I got my internship are currently using mail address that are like example@internetprovider.com and the company wants them to use the new mail address example@companydomain.en (in both case the employee are using outlook). 

The problem is that they would like to keep their old mail and contact. I know you can do a manual archive but can you import it in a new account ? Will it also save the contact of the user ? Since it's a new account with a new domain, I really have no idea how to transfer mail and contact from the old account to the new one.

Calendar Corruption caused by Digital Signing of Emails

Hi,

I work for a company, which has around 20.000 mailboxes. A few weeks ago I had a case of a user unable to open occurrences of some series.

After a long troubleshooting we found out the following:

Using MFCMAPI we discovered that some appointment series where showing a wrong message class:

It should be IPM.appointment and not IPM.Appointment.SMIME

This seems to be caused by the fact the user has the setting "Add Digital signature to Outgoing messages" enabled in the "Encrypted e-mail" setting pane.

Resolution:
- Use MFCMAPI to change the class from IPM.Appointment.SMIME to IPM.Appointment
- Disable the "Add digital signature to outgoing message

Once those two steps are done, user is then again able to open the occurrences in the "corrupted" series.

After this incident, I enabled the same functionality on my mailbox (I only use Outlook 2013 and Outlook on windows 8.1 phone. Our mailboxes are on Exchange 2013 on-premises ). After 15 days, I also started to have "corrupted" series for which I could not open occurrences anymore and MFCMAPI showed message class IPM.Appointment.SMIME for those.

My question to you is, has anyone of you had a similar issue? Were you able to resolve it, while leaving the "Add digital Signature to outgoing message" enabled?

Additional information:

- Calcheck shows the following for the series: "WARNING: Message Class (IPM.Appointment.SMIME) is not standard for Calendar item.
- Calcheck is unable to repair the error automatically
- Used the "New-MailboxRepairRequest" with the 4 tasks, it was unable to repair the issue
- Also we disabled the automatic repair function of Exchange 2013 mailboxes, corruption still occurs for some new or ancient meetings
- We verified, and confirmed that on the calendar general tab, the setting is correctly set to IPM.Appointment for the "When posting to this folder, use" option
- We tried with and without "cached mode", corruption still arise
- In OWA, the meetings are working fine
- We tried to use scanpst on the OST but it was unable to resolve the errors
- We removed the OST and started again from a fresh profile, corruption was still present
- We tried on a clean laptop, fresh image (thinking about Office issue), corruption still occured
- Our digital certificate for signing emails are coming from AD

Autodiscover broken after Office update

We are seeing some weird behaviour on our exchange 2013 environment.

We have had Exchange up and running for over a year now with very little issue, currently on CU6. However in the last couple of weeks we have seen some issues with Autodiscover. It appears only to affect external users whose email address match their UPN, ie. Users who use an email alias of a different domain seem not to be affected.

There have been no changes to our autodiscover or DNS. After some extensive testing I have narrowed it down that only Outlook 2013 clients seem to be affected. So I brought up fiddler and noticed that when using the affected domain to try and autodiscover the request was then being routed to ActiveSync URL rather than the Outlook Anywhere URL. So further investigation of the Autodiscover logs it seems that users with the most recent Office client updates seem to be sending a different Useragent string than those without the November updates.

Pre November 2014 office update user agent string- Microsoft Office/15.0 (Windows NT 6.1; Microsoft Outlook 15.0.4667; Pro)

After November 2014 office update user agent string - Outlook/15.0 (15.0.4667.1000; MSI; x86)

I have proved there to be an issue as I uninstalled Outlook from my machine and reinstalled RTM with no updates and autodiscover works fine.

Is it possible that this changed user agent string is stopping exchange recognising that Outlook should use Outlook Anywhere? And even if that is the case why it only happens when using the UPN domain for autodiscover? Has anyone else seen this issue with the latest Office updates?
