New Mail Notification (Envelope icon in taskbar) does not go away

I have Office 2013 on Windows 7 and have noticed the following behavior in Outlook:
- New mail arrives in my Inbox
- Envelope icon appears on the Outlook icon in the taskbar
I now read the email on another device
- The email is automatically marked as read on the first machine
- The envelope icon persists in the taskbar
The only way to get rid of the icon is to either toggle a mail from read to unread and back to read or if I get another email and read it on the machine that has the icon

This behavior causes a lot of false positives when reading emails on two machines.

Note: I raised this issue on the MS community forums and they were able to reproduce it. I have added the link below. I am posting it here based on feedback I received there.

Prompting for credentials from one user on multiple computers

I have an Exchange 2013 environment.  Other users on network are not getting prompted but one user is frequently getting prompted in OUtlook 2013 and Outlook 365 for credentials in Outlook.  Sometimes it doesn't connect at all and sometimes it works fine.  The autodiscover and certificate setup look fine.  The client authentication also looks ok on exhcnage server and is using defaults.

What can I look for to solve this issue?

Outlook profile reset/ost resync after windows update

we have an ongoing issue with workstations losing/reseting outlook profile randomly following windows update, when updates are installed/uninstalled on workstations we would observe event ID 29 in system event log with either or the errors below:

- The store C:\Users\[username]\AppData\Roaming\Microsoft\Outlook\[username].ost is being re-pushed to the indexer for the following reason: (ost is being re-pushed to the indexer for the following reason: newly created store)
The store C:\Users\[username]\AppData\Roaming\Microsoft\Outlook\[username].ost is being re-pushed to the indexer for the following reason: Index reset (or catalog signature changed), re-push entire store.

the behavior is observed while installing office updates that may or may not be related to outlook, and sometimes updates would be installed without any issue for months and then resurface.

Additionally, when we run Procmon to monitor its activity we would see outlook recreating the OST file after patches are applied.

we have attempted to set the value of SyncMonitorLevel to 3 (under HKEY_CURRENT_USER\Software\Microsoft\Office\x.0\Outlook\Cached Mode) and nothing seem to point us to the right direction as to what have caused this issue. I am wondering if anyone may have come across this issue before?

Outlook auto-send/receive unchecking itself

Newly installed Office 365/2016.

On my home computer, I have an exchange account (from work) and a personal POP account.

In the exchange account, when I check the "schedule an automatic ..." then do a send/receive (or restart outlook), the checkbox becomes unchecked.  The send/receive schedule is set to 10 minutes.

I do not have cached exchange mode selected.

The POP account does not exhibit this problem.

I had same problem with Outlook 365/2013 at home, but do not have this problem on my work machine (Outlook 2013).

Ideas?

Outlook Reminder Pop Up Won't Maximize

When I click on the reminders button in the customize status bar and then attempt to open them the pop up for the reminders attempts to maximize but it remains minimized. No matter how many times I then click the pop up from within the Toolbar shortcut it won't maximize...

I've attempted to find a solution to this with no success. 

Anyone having similar problems and find a solution? This is for Outlook 2013

Presence icon missing in Outlook 2013 and 2016

Hi all,

some of our users are experiencing issue with missing presence icon on the left side:

They do not see this icon, only user name. Presence is working fine if we hover over the name and contact card shows up. In OWA it is also working as expected.

Tried both Outlook 2013 and 2016 with same issue. Disabled and also enabled hardware acceleration without any help.

If same account is logged in on another pc, it works fine so it is local issue.

I suspect it is because the issue pc has 4k monitor, we tried different DPI and screen resolution without any help. Even external monitor in difference size has this issue.

Tried GFX driver from pc manufactor, Windows update and also GFX provider without any help.

Seems like this is a known issue from earlier client:

This registry did not help since path shown in the link does not exist. (Common\PersonaMenu and Common\IM).

Does anyone have a workaround for this?

Computer is brand new and it is an annoying bug, since our users have to hover to see their presence.

Protect Ex2016 OWA with Azure MFA, with ADFS federation (2016)

Hi,

We have Exchange 2016 on-prem and would like to protect owa and ecp with Azure MFA (without using the on-prem MFA server).

We have an ADFS server (2016) and the users have a federated identity.

What steps do I need to take to enable MFA for Use with OWA and ECP?

I found an article that looks like a good start: http://msexchangeguru.com/2017/01/16/secure-owa-ecp-with-mfa/

Only this is based on ADFS 2012R2 and Exchange 2013. Perhaps methods for ADFS 2016 and Ex2016 have changed / evolved in any way?

Pls. some advice to accomplish this with ADFS 2016 and Ex 2016, or are the steps from the article still valid and best-practice?

My own meeting requests move to Junk mail

Hello,

I have an Exchange 2013 CU 20, one of users has an issue in Outlook 2013.. When she creates a meeting request and other users accept it, her request moves to Junk mail and meeting removes from Calendar. I've already checked her rules, checked her Junk settings in Outlook and everything is fine. No one else has this problem. Can anybody help me to understand what is going on? :)

Outlook Emails Not Working

I have my Outlook emails coming through ok on the Outlook app on my phone but when I add the account details, server details into the Outlook app on my windows PC it can't find the Exchange server.

The error message I keep getting when trying to add the account on my PC is:

"Log onto Exchange ActiveSync mail server (EAS): The server cannot be found."

It's the same server details I have on my phone Outlook app so can't figure out what the issue might be

User unable to create meeting in calendar of resource mailbox even after having full mailbox permission

Hi All,

We have a receptionist who has full mailbox access to all the resource mailbox for booking meetings, even though she has full mailbox access when she books meeting she gets the below error, and she gets this message on all resource mailbox where she has full access

End-user item search limit @ 250, increase?

Hello,

 I am wondering if there is a way to increase the limit of items returned for a search from 250 to something more?

 Example -

  • UserA has a mailbox. 3000+ emails, 1 year worth of data in the Inbox.
  • UserA has his Outlook configured in "online" mode (cache disabled). "Improve search speed by limiting the number of results shown" is disabled as well (in the Options > Search). 
  • UserA runs a search for letter "a".
  • Search returns 250 items - no option to get more at the bottom of search results.
  • UserA logs in to OWA.
  • Runs a search for letter "a" again.
  • OWA returns 250 items and says "If you can't find what you were looking for, please try more specific terms"

 Exception -

If UserA puts his Outlook in cached mode, and allows it to cache everything, the search (performed locally by the indexer on UserA's machine) will find way more than 250 items.

 This behavior is observed in Outlook 2010 and Outlook 2013.
 This was not an issue when UserA was on Exchange 2010 - when the user clicked "Get More" after the initial results from Search, it would load everything else it found.

 Question - Where on the Exchange server can I modify the setting for this, and is it modifiable?

 Answers similar to "have user use more specific terms" or "have user specify a time range" are not what I am looking for. This worked in 2010 and having to tell the user to use more specific terms will equal to a disaster.

Outlook 2016 - business environment - notifications

Hello!

Description of the environment

I am using Outlook 2016 in a business environment, that is to say in my workplace. Some time ago, an update came, so that now I am having the Office 365 version of Outlook. I am using 4 accounts (in the Status bar: Connected to Microsoft Exchange) with Outlook, and I only receive notifications with only three. In the fourth one, I applied some rules, and I have been never notified about a new incoming message in the different folders. Yes, I created folders for the different rules, as well.

My question is: Is it possible that I dont receive notifications because I applied rules to that account?

Outlook 2013 challenges for credentials after a password change

Hi,

We have been experiencing an issue of the sorts wherein the outlook clients on user machines challenge for credentials after change in the password. I am not sure if there is a native sync available to update the windows password across various MS applications installed on the user machine.

How can we get around the issue. The requirement is that my Outlook should seamlessly update the new credentials after I change my windows (AD) password on the machine.

Any help would be appreciated!

Please help me we are using Exchange 2016  and our Critical Users using outlook 2016 and when outlook 2016 in cached mode exchange  outlook is not able to  download mail when we uncheck cache mode our mail received please help me . this very critical users.

Hybrid exchange outlook 2013 clients doing basic authentication

we have a situation where (though both the outlook and EOL has modern authentication enabled) outlook clients are doing basic authentication and in turn its failing with an error (Fiddler trace) saying "X-AutoDiscovery-Error:LiveIdBasicAuth:FederatedStsUnreachable:".

we have 2 ISP (primary and backup).

this issue happens when we route all office365 traffic alone via the backup ISP (with new public IP). when it goes through primary ISP, everything works fine.

1. couldnt understand why the outlook is doing basic authentication in hybrid setup. is it expected?

2. how would you explain the basic authentication getting successful when the office traffic goes through primary ISP but not when it goes through secondary ISP?

Exchange 2013 OAB Not Updating (Server Side)

A few months ago, I attempted to setup a second Exchange server for failover and redundancy. I do so pretty blindly and caused some problems. The second server is now offline for the time being, however the OAB on the initial server has not updated since then. 

Both server are still part of the DAG, however the second has not been online since its original creation and problems. I attempted to force an update through powershell (Update-offlineaddressbook) and do not see any error in shell or the event viewer, however it is still dated 2 months ago.

A meeting reminder is set unexpectedly when you send an email message to an Exchange Server user

Hi,

after a smooth migration from Exchange 2007 (SBS) to Exchange 2013 on premise, I've got a solved problem back. A meeting reminder is set unexpectedly when someone sends via mail an invitation to an appointment to a college.

I’ve copied my old storedrive.config from Exchange 2007 where it works fine to the bin-folder of Exchange 2013, restarted the server and it doesn’t work.

The value for AddNewRequestsTentatively is set to true. The ProcessExternalMeetingMessages-value can't be set, because the mailbox is a user mailbox.

Get-CalenderNotifiation shows, that the value for MeetingReminderNotification is set to false.

Has anyone further suggestions, how to get rid of that nasty reminder?

Outlook 2016 connectivity to Exchange 2007/2013 enviroment

Hello.

We have an Exchange 2007 and 2013 environment in our company. We are in the middle of the migration to 2013, so we have both versions running in the same organization.

We started to install Outlook 2016 in new computers but when configuring Outlook for first time use, it get stuck in "Searching for AccountA@xxx.com settings" step. Using Outlook 2013 we don't have any problems. Please note that AccountA has been migrated to Exchange 2013.
I know that OUtlook 2016 is not compatible with Exchange 2007, so my question is: Could Outlook 2016 be used in organizations running Exchange 2007 and 2013 for accounts migrated to 2013? Or should we use Outlook 2016 just when the entire organization is under Exchange 2013?
